How a White-Label Portugal Wine Itinerary Gets Quoted in 48 Hours

Most DMC pages tell you what they believe. This one tells you what happens.

If you're evaluating a Portugal partner, you don't need our philosophy. You need to know what you have to send, what comes back, when it comes back, how the money works, and who your client talks to. Here it is, in order.

The brief we need

You do not need to write a scope of work. You need to answer six things:

  1. Dates. Fixed or flexible, and by how much.

  2. Party. How many, ages if it matters, who's paying attention to what.

  3. Budget band. A range is fine. "Don't know yet" is also fine. Say so, and we'll bracket it.

  4. Wine literacy. Are they curious, or are they the person who corrects the sommelier? This changes everything downstream.

  5. Mobility and pace. Can they walk a vineyard? Do they want to be up at seven, or not before ten?

  6. Non-negotiables. The one thing that, if missing, makes the trip a failure.

That's the brief. If you have a client email you can forward instead, forward it. We'll pull the six out ourselves and come back with the gaps.

Hour 0 to hour 48: what happens

Hour 0–4: Read and question. We come back with questions if the brief has a hole in it. This is not a delay. It's the difference between one proposal and three.

Hour 4–24: Availability held. Not checked. Held. Rooms, guides, drivers, and the estate access that actually determines whether the itinerary is real.

Hour 24–40: Route and hero moments. The shape of the trip, the pacing, and the one or two things your client will describe when they get home.

Hour 40–48: Written and priced. The itinerary is written in your voice, formatted as your document, carrying your logo.

At hour 48 you have something you can forward to your client without editing it.

Who speaks to your client. (Nobody but you.)

White-label is a word that gets used loosely. Here's our protocol in writing:

  • Documents carry your brand. Itinerary, day plans, pre-departure notes, confirmations. Your logo, your colours, your voice. Not co-branded. Yours.

  • No post-trip marketing to your client. Ever. Their details don't enter a list. The relationship you built stays yours after they land.

  • We operate exclusively B2B. Not "mostly." There is no consumer arm of this business waiting to remarket to the client you introduced.

Your client should finish the trip believing you have a team in Portugal. In every way that matters to them, you do.

When something breaks

It will, eventually. What matters is whether the plan already knew.

Contingency is written in before your client sees the itinerary. Not attached as an appendix, built into the day. If the private sailing can't run in that wind, the alternative is already booked and already good. Your client experiences a choice, not a failure.
